Sorry to hear you're unwell.  Best wishes in getting over it soon.

But does this mean that without a member of staff present we can never 
hold meetings in the new room?  Is there any way round this?
(Trusted members of the community allowed to occupy room in evenings, 
etc?)

I think my best suggestion for a venue would be the Phoenix Project, in 
King Street.
Drinks are available, and there's a contribution to make for use of the 
premises, but it's smoke-free and considerably less expensive/noisy than 
the run-of-the-mill pub.
But if we're going to use it, we'll need to get our skates on.
